Managing your Voicemail for Teams Calling

Microsoft Teams Calling account provides you with voicemail features which you can access and manage from your computer desktop, web browser or mobile app.

How do I access my voicemails?

  1. Open Microsoft Teams on the desktop or via the web browser
  2. Once Teams has loaded, click on the ‘Calls’ tab and then locate the ‘History’ section
  3. Click on the ‘Voicemail’ filter near the top right-hand corner of the ‘History’ section
  4. Any voicemails left for your account will appear in the list, and these are automatically ordered by date/time received
  5. In order to get information about the voicemail, you can click on each voicemail entry in the list. This will allow you to listen back to the voicemail recording.
  6. Details of the voicemail, including the caller, date, time and duration as well as a surprisingly accurate transcription of the recording
  7. When hovering your mouse or clicking on a voicemail, you can click the ellipsis to call back, mark as read/unread, add the caller as a contact or delete the message

How do I change my voicemail greeting?

Setting a new voicemail greeting in Microsoft Teams is easy, and you can change this at any time. You can also change settings relating to how you want your callers to leave messages for you (or not).

  1. Open Microsoft Teams on the desktop or via the web browser
  2. Once Teams has loaded, look near the top right-hand corner for the Ellipses (beside your profile picture if you have one) and click on it to open the menu
  3. Click on the ‘Settings’ option
  4. The settings window will now open. You can click on ‘Calls’ in the bottom-left
  5. Click on the ‘Configure voicemail’ button which will open the voicemail window
  6. You will now have access to your voicemail options. Most importantly, the option to record a greeting is available at the top of this window
  7. If you wish to set a greeting message you can click on the ‘Record a greeting’ button. The Teams system will call you and will guide you through a step-by-step process to listen to or change your current greeting. Remember to ensure you follow the prompts to save your greeting.
  8. You will also have the ability to change how you want your voicemails to work by choosing an option from the ‘Call answer rules’ dropdown menu

    You can choose from the following options
    1. Let the caller record a message (this is the default option)
    2. Let the caller record a message or be transferred to someone else
    3. End the call without playing your greeting
    4. Play your greeting and end the call
    5. Transfer the call to someone else
  9. Once you are happy with your changes, you can click the ‘OK’ button to save

Text-to-Speech Greetings

You don’t have to record a greeting yourself if you don’t want to. The sections ‘Greeting language’ and ‘Text-to-speech customised greeting option’ will allow you to configure a greeting which is read out via computerised text-to-speech – just remember to change the ‘Greeting language’ to English (Australia)

Be aware that if you have recorded a greeting message already, that this will take precedence over any text-to-speech.
